Prairie States Inc has the right way to Close Out your Building Projects. As part of our Contract Administration Services, Prairie States Inc has a multistep process as part of our Construction Management software. The process consists of the Final Inspection, creating a Punch List, completion of As Built Drawings, cataloging Warranty Information, Owner Training, Punch List Inspection, Final Payment with Lien Waivers, and Insurance Coverage transfer.

Prairie States Inc works with the owner, architect, engineers, and contractors to accomplish the Project Close Out. Each of the items included in the Close Out process will be explained in more detail as each item requires identifying the issues, identifying the responsible party, assigning penalties where they apply, and verifying completion of the responsibilities.

Documenting Progress Meeting

Prairie States Inc uses it’s construction management software to provide Contract Administration Services for Progress Meeting. Prairie States Inc writes the Progress Meeting agenda, documents all discussions, assigns responsibility for action, designates the status of an item of discussion, and distributes the meeting minutes to all responsible parties via e-mail. All open or unresolved items of a Progress Meeting is automatically forwarded to the next scheduled meeting and all documented items are linked through Key Word identification to all of the other documents as part of the historical tracking of issues.

Verification of Pay Requests

Prairie States Inc offers Pay Request Verification as part of our Contract Administration Services. Prairie States Inc has the management software that links the progress payments with the Construction Schedule and the Schedule of Values. Regularly scheduled visits to the project job site and an updated Construction Schedule are the critical tools for verification of progress payments.

Controlling Change Orders

Prairie States Inc has a Contract Management program that tracks, controls, and manages Change Orders for a project. One of the features of our Change Management program is the ability to link a key word in the proposed change to all of the project communications (Letters, RFI’s, Progress Meeting, Daily Logs, and etc) to provide a historical record and establish responsibility for the change. Regardless of the origin of the change (Owner, Architect, or Contractor) the program includes a Change Process for budgeted cost, estimated cost, negotiated cost, and approved cost.

Documenting Project Communications

Architects and other Construction Professionals know that one of the most critical elements of any Building Project is Communication. Prairie States Inc uses Contract Management software to provide Communication Documentation for tracking and logging all of the documents and communications involved in a building project whether by telephone, fax transmittal, e-mails, submittals, letters, progress meetings, or daily reports. All of the recorded documents and communications are linked with key word features which allows us to immediately list all correspondence associated with any dispute or change order. Communication Documentation provides historical tracking for an issue and helps determine responsibility.

Daily Logs done right

As part of the Construction Management program used by Prairie States Inc, the Daily Log is more than just a journal of the weather conditions, manpower on site, equipment in use, and a description of the work performed. The Daily Log is part of the documentation and communication feature of our Construction Management software which verifies the delivery of materials, equipment, and manpower linked to the Shop Drawing Log and the Construction Schedule. Data and information recorded in the Daily Log is also linked to RFI’s, Notices, Non Compliance Letters, and Change Management features of the software.

More than just Shop Drawing Submittals

Prairie States Inc provides a Shop Drawing Log as part of our Contract Administration Services. As part of our Contract Management software, the Shop Drawing Log tracks the flow of all of the submittals throughout the entire approval process, provides Alerts when anyone in the approval process is holding onto the submittals beyond their allotted time, and documents the comments attached to the submittals. Prairie States Inc can identify if the Shop Drawings were submitted and  processed in a timely manner which allows is to identify who is responsible for any delays.

Prairie States Inc also links the Shop Drawing Log into the Construction Schedule as part of our Contract Management soft ware. This allows for Alerts with our contract management program to verify that the Contractors have ordered materials and equipment in a timely manner accounting for the manufacturing and delivery lead times required for maintaining the Construction Schedule of the building project.

Why worry about Cash Flow Analysis?

Prairie States Inc provides a Cash Flow Analysis of the project by inputting the itemized costs of the Schedule of Values into the CPM Construction ScheduleCash Flow Analysis provides a snapshot of how the cost of construction is distributed with the progress of the project. This feature is one of the tools used to determine if the monthly progress payments represent the work progress of the building project. It also identifies when big ticket items need to be on the project for installation and maintaining the Construction Schedule.

Construction Schedules

It’s a chilling feeling and has the potential to derail the building project when the Contractor presents a Construction Schedule for the project that is not reflective of what the Owner or the Architect have anticipated. Prairie States Inc provides a review process of the Contractor’s Construction Schedule that identifies if the proper resources of equipment and manpower are being utilized by the Contractor.

Prairie States Inc also provides an additional service of establishing a Base Line Estimate for the building project and using that data with our Primavera Contractor software to create a CPM Construction Schedule. The estimate provides critical information for the Architect as it shows the total man hours involved in each of the 16 Divisions and also identifies the crew structure and manpower required for the project. This allows Prairie States Inc to provide our client with data that will either verify the Contractors Construction Schedule or provide the tools necessary to negotiate a resolution to the issues.

Building a Quality Project Budget

Every Architect has a process for determining a Preliminary Project Budget and following that process to a Final Project Budget. A Project Budget is only as good as the data used for calculating the cost of construction. Prairie States Inc offers an estimating service that allows for a specific and precise program for accomplishing a Estimated Cost for the Project Budget from the preliminary design to the final bid documents. Our estimating program will take you from using square footage calculations to actual plan takeoffs in a matter of hours in lieu of days.

Prairie States Inc estimating software uses an RS Means format that can be combined with the Architect’s historical data to create Preliminary Budget for the Building Project based on basic information provided by the architect…type of construction, number of levels, square footage per level, and etc. As the design process proceeds the new information is entered into the estimate so the Project Budget is updated as the information is updated. Design Concepts can be evaluated as a “What If” for cost evaluation by the Owner and Architect. This allows the Architect to determine how the cost of proposed designs and changes affect the Project Budget.

Once the Drawings and other Construction Documents are completed and before they are sent out to the Contractors for bids, Prairie States Inc will provide an estimate with a breakdown of cost for all 16 Divisions. The end result is a Base Line Estimate that provides the Architect the information and confidence that the project design is within the owner’s budget and a tool for evaluating the Contractor Bids.
